Collectors Showcase – Olympia London

  • Set-Up (Load-In): Friday 21st November 2pm-7pm

  • Show Day: Saturday 22nd November 10am-4:30pm

  • Breakdown (Load-Out): Saturday evening after show close 5pm-9:30pm

🚨 Important: Booking Vehicle Access

Olympia London manages all vehicle movements via the Voyage Control online booking system.
This ensures a smooth and safe build-up and breakdown for all exhibitors.

👉 All exhibitors and contractors bringing vehicles onsite must pre-book a slot for both unloading (set-up) and loading (breakdown).

⚠️ Do not arrive early or late – access will only be granted during your booked time slot.
If you do not pre-book, you will not be allowed into the loading areas.

🚗 Smaller Set-Ups & Taxis (No Booking Needed)

If you only have a small amount to bring (for example, one table or a few boxes), please avoid booking a vehicle slot and instead use:

  • Public transport or taxis

  • The main entrance to bring items in using a trolley or suitcase

This helps reduce congestion and keeps access routes clear for larger vehicles.

⏰ Load-In Schedule

Friday 21st November (Main Set-Up Day)

  • All exhibitors are welcome to set up on Friday.

  • If bringing a vehicle, please arrive only during your booked time via Voyage Control.

  • If you are not booked for loading bay access, use the main entrance and park in the public bookable car park. https://parking.olympia.london/OlympiaBooking/

Saturday 22nd November (Morning Set-Up Option)

  • Additional load-in available from 7:30 am – 9:00 am.

  • Please use public transport, taxis, or the car park where possible to avoid congestion.

⏰ Load-Out Schedule – Saturday 22nd November

  • Smaller vehicles (cars/vans): First Voyage Control slots open 30 minutes after the event closes.

  • Larger vehicles (lorries/trucks): Access begins a minimum of 2 hours after breakdown starts.

  • Taxis and couriers do not need to book if:

    • They take no more than 15 minutes

    • Do not require forklift access

    • Can unload/load at the roadside rather than in the loading bay

  • Parking at Olympia London is managed separately and is available to book online.

  • We recommend pre-booking to guarantee a space, as availability is limited.

Note: Parking for loading/unloading is only available through the Voyage Control booking system – it is not the same as general car parking.

Before you arrive:

  1. Book both unloading and loading slots if bringing a vehicle.

  3. Use public transport/taxis if your setup is small.

  4. Pre-book general parking if required for the weekend.

  5. Additional load in Saturday morning (7:30–9:00 am).
